Allow Me Solutions Pty Ltd ("we", "us", "our") operates the FieldOp application and the website fieldop.com.au (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and what choices you have.

1. Information we collect

  • Account information. When you create an account or are invited as a staff member, we collect your name, email address, phone number, and optionally your profile photo.
  • Customer and job information. When you use FieldOp, you input information about your customers, properties, jobs, schedules, forms, invoices, and related business operations. This data is yours; we hold it on your behalf.
  • Device information. When you use the FieldOp mobile app, we collect your device's push notification token (so we can send job alerts), the operating system version, and the app version.
  • Location information. If you grant location permission, the app may capture your location at job-related moments (e.g. arrival on site, completion of a visit). Location is never collected in the background.
  • Photo and camera data. If you grant camera or photo library permission, the app uses these only when you explicitly attach photos to a job or form. We do not access photos otherwise.
  • Usage information. We collect basic analytics about how the Service is used: page views, feature interactions, performance metrics, and error reports. This is used solely to improve the product.

2. How we use your information

We use the information we collect to:

  • Provide, maintain, and improve the Service.
  • Authenticate you and keep your account secure.
  • Send you notifications relevant to your work (job assignments, reminders, etc.) by push notification, email, and SMS where enabled.
  • Communicate with you about the Service, including service announcements, security alerts, and support messages.
  • Detect, prevent, and address technical issues and fraud.
  • Comply with legal obligations.

3. How we share your information

We do not sell your personal information. We share information only as described below:

  • With your team. Information you input is visible to other authorised users within your organisation's account.
  • Service providers. We use trusted third-party services to run the Service, including Supabase (database and authentication), Apple Push Notification service, Twilio (SMS), and analytics providers. These providers process information on our behalf under appropriate data processing terms.
  • Legal compliance. We may disclose information if required by law, legal process, or to protect rights, property, or safety.
  • Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

4. Data storage and security

We store your data on Supabase infrastructure, which is currently hosted on AWS in regions selected for service performance. We apply industry-standard security practices including encryption in transit (TLS), encryption at rest, role-based access controls, and audit logging. No system is perfectly secure; we encourage you to use a strong password and to keep your account credentials confidential.

5. Data retention

We retain your data for as long as your account is active. If you close your account, we retain data necessary to comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your personal data by emailing us (see Contact below).

6. Your rights

Depending on your jurisdiction, you may have rights including:

  • The right to access the personal information we hold about you.
  • The right to correct inaccurate information.
  • The right to request deletion of your personal information.
  • The right to object to or restrict processing.
  • The right to data portability.
  • The right to lodge a complaint with a privacy regulator. In Australia, this is the Office of the Australian Information Commissioner (oaic.gov.au).

7. Children

The Service is not directed at children under 16, and we do not knowingly collect personal information from children under 16.

8. International users

If you access the Service from outside Australia, your information may be transferred to, stored, and processed in Australia or in any other country where our providers operate.

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date.
